Using Zoom with Events

Learn how virtual events work with Zoom โ€” automatic meeting creation, notification templates, and how customers receive their Zoom details.

Overview

Once Zoom is connected to your reservie account, you can create virtual events that automatically generate Zoom meetings. Customers receive the meeting details when they book and through reminder notifications.

Creating a virtual event

When creating or editing an event, the first step is to select the event type:

  • Physical โ€” An in-person event at a physical location
  • Virtual โ€” An online event hosted via Zoom

Select Virtual to create an event with automatic Zoom integration. The rest of the event setup follows the same steps as a physical event โ€” see Creating and Editing Events for the full walkthrough.

How Zoom meetings are created

When you create a virtual event, reservie automatically creates a Zoom meeting for each scheduled date. The timing depends on the scheduling type:

Weekly/MonthlyMeetings are created as each date is generated by the schedule

Each meeting gets a unique Zoom meeting link, meeting ID, and passcode.

Sending Zoom details to customers

Zoom meeting details are sent to customers through your notification templates. You can include the following template keywords in your email notifications:

These keywords can be added to:

  • Purchase confirmation notifications โ€” sent when a customer books an event
  • Event reminder notifications โ€” sent before the event starts

To configure notifications, go to Notifications in the sidebar menu and edit the relevant templates.

Tips

  • Check your connection โ€” If customers are not receiving Zoom details, verify that the Zoom connection is still active in the Integration Hub.
  • One meeting per date โ€” Each event date gets its own unique Zoom meeting, so attendees at different times receive different meeting links.
  • Re-authorize if needed โ€” If Zoom meetings stop being created, the connection may have expired. Use the Re-authorize option in the Integration Hub to refresh it.
