Getting Started with Notifications

Updated Feb 14, 2026 2 min read

An overview of the notification system — how email notifications work, the three template classifications, and how to manage them.

Overview

Notifications are automated emails sent to your customers when specific events (triggers) occur — such as a booking confirmation, cancellation, or subscription payment. The notification system is accessed from Notifications in the sidebar menu, which has two sub-sections: Templates and Settings.

Template classifications

There are three classifications of notification templates, each with a different role:

System templates

System templates are the built-in default messages provided by reservie. They cover all standard trigger types and are used automatically unless overridden. System templates cannot be edited or deleted — they are maintained by reservie.

You can view a system template to see its subject and body content, and you can disable a system template if you do not want that notification to be sent.

User-defined default templates

User-defined default templates override the system template for a given trigger type. When you create a user template and assign it to a trigger (e.g. “Event Booking”), it replaces the system template as the default message for that trigger.

There can only be one default user template per trigger type. If you create a user template for a trigger that already has a system template, the system template will show an Overridden badge indicating it is no longer in use.

Bespoke templates

Bespoke templates are not available for all trigger types, but where supported they allow you to create specific templates for particular scenarios. For example, you might create a bespoke “Event Booking” template with different wording for workshops, and then tell the system to use that template for specific events.

Bespoke templates are assigned to individual events or appointments rather than acting as a global default.

Trigger types

The following trigger types are available for user-defined and bespoke templates:

TriggerWhen it fires
RegistrationA customer registers for an account
Event BookingA customer completes an event purchase
Event CancellationAn event booking is cancelled
Waiting List AvailabilityA space becomes available for a customer on the waiting list
Pass PurchaseA customer purchases a pass
Event Reminder (Virtual)2 hours before a virtual event starts
Event Reminder (Physical)2 hours before a physical event starts
Appointment BookingA customer books an appointment
Appointment ReminderBefore an appointment starts

Additional system-level triggers exist for subscriptions, invoices, and password resets — these are managed through the system templates.
